Annual Meeting Travel & FAQ

Registration includes access to all program sessions, as well as the Welcome Reception & Dinner on Wednesday, October 2, Continental Breakfasts on Thursday and Friday, and the Member Recognition Awards Gala Reception & Dinner on Friday, October 4. Additional networking activities for attendees and spouse/guests are optional, and have fees for each activity. The Spouse/Guest rate is for non-industry individuals.

VMA is pleased to welcome attendees to the St. Regis Deer Valley. The VMA block of rooms has SOLD OUT at the St. Regis. For assistance in securing a room in Park City, please contact Abby Brown at abrown@vma.org or by calling 202.331.7655.



The closest airport is the Salt Lake City International Airport (SLC), which is about 45 minutes from the St. Regis Deer Valley. Taxi's, Uber and Lyft all operate throughout the area, and car rentals are available at the airport. Additionally, private car service can be arranged for easy pick up and departures through Snow Country Transportation. Once at the property, a complimentary hotel shuttle is available for local transportation to and from the Park City 'Main Street,' where most restaurants are located.



Networking Activities Dress Code

  • Mines & Wines Tour - Comfortable light clothing, walking shoes, sunscreen and water are recommended.
  • Individual Golf Tee Times – Collared Shirts, Appropriate Length shorts or skirts, golf shoes, sun protection.
  • Fly Fishing - Dress for the weather by wearing sunscreen, a hat, sunglasses, and socks. A light pair of athletic pants is usually the most comfortable under waders.
  • A Hike Through Deer Valley - Comfortable light clothing, walking shoes and walking poles, sunscreen and water bottles are highly recommended.
  • Trap Shooting - Comfortable light clothing, walking shoes, sunscreen and water are recommended.
  • Utah Olympic Park Tour - Comfortable light clothing, walking shoes, sunscreen and water are recommended.

Annual Meeting Dress Code

VMA Member Awards Ceremony, Reception & Gala Dinner

  • Business formal attire or upscale resort elegant attire can be worn for the Member Awards Gala on Friday evening (jackets for men, and cocktail dresses for women)

All Items are optional and only open to spouse/guests.

  • Spouse/Guest Welcome & Charity Function (Wednesday, October 2)

    Stop by anytime between 2:00 p.m. and 4:00 p.m. to meet other spouse/guests, assemble a STEM activity box for children in foster care, and learn about what there is to do in Park City. Light refreshments and beverages will be available.This event is complimentary but we do ask that you register if you plan to attend.

  • Spouse/Guest Cheese Making Class (Thursday, October 3)

    Visit a local dairy farm to experience a private mozzarella or burrata cheese making class. As a small group we will be given instruction on the process, and have time to craft individual cheeses to enjoy back at the hotel or once you return home. This tour departs at 9:30 a.m. from the main lobby and returns around 12:00 p.m. ($115++ per person)

  • VMA/VRC does not accept responsibility for any “no-shows.” Individuals will be charged for the cost of their registration if they do not follow the cancellation policies.

  • Substitutions are allowed until 24 hours before the event begins. 

  • Cancellations received on or before Friday, September 6, 2024, will be refunded in full, minus a $50 admin fee.

  • Cancellations received after Friday, September 6, 2024, will not receive a refund due to VMA/VRC financial obligations and meeting guarantee requirements.

  • Because VMA/VRC makes financial obligations based on the number of tickets sold for networking activities, we cannot refund tickets at any time after August 8, 2024.

  • If cancellation is needed due to surgery, health related issues, or COVID regardless of the date the cancellation is received, a full refund will be provided, minus a $50 admin fee.

  • If the event is canceled or postponed for any reason, VMA/VRC is not liable for any hotel and/or travel arrangements you may have booked.
